Privacy Policy

Who We Are

This Privacy Policy explains how Hickman Capital Holdings LLC, doing business as Connor Hickman (“we,” “us,” “our”), collects, uses, and protects information in connection with our remote mentorship and film analysis service (the “Service”), including our website at connorhickman.com (the “Site”) and our client portal.

This Service is intended for users located in the United States and is not directed to, or intended for, individuals located outside the United States.

Information We Collect

From inquiries. When a parent or guardian submits an inquiry through our website, we collect the parent or guardian's name, email, phone number, and the athlete's name, grade or graduation year, position, current team information, and any notes provided.

From client accounts. If we create a portal account for your family, we collect the athlete's name, date of birth, grade or graduation year, position, height and weight, school and team information, self-assessment answers, and the parent or guardian's name, email, and phone number. We also collect the goals, development plans, and film breakdown materials created as part of the Service.

Film and video. Film is shared with us through links or file-sharing tools you choose to use, such as Hudl or YouTube. We access and review film through these third-party services; we do not require you to upload video directly to our website.

Payment information. All payments are processed by Stripe, a third-party payment processor. We do not collect or store your credit card number or other payment card details. Stripe's own privacy policy governs the information you provide directly to them.

Account and login information. Portal accounts are created by invitation; there is no public sign-up. Signing in with an email and password is the default, and you can instead request a one-time email sign-in link. Passwords are stored only as salted hashes by our authentication provider, never in plaintext or in any form we can recover or read. Two-factor authentication using an authenticator app is required for administrator and coach accounts, and is optional for family accounts.

Communications. If you email, text, or otherwise message us, we retain that communication as part of our normal business records.

Children's Privacy and COPPA

Many of the athletes we work with are minors, and some are under the age of 13. We comply with the Children's Online Privacy Protection Act (“COPPA”) as follows:

We do not knowingly collect personal information directly from a child under 13 without verifiable parental consent.

Client portal accounts are created only by us, and only after a parent or guardian has engaged our services directly with us. There is no public sign-up, and a child cannot create an account on their own.

By providing information about your child and enrolling them in the Service, you are affirming that you are the child's parent or legal guardian, and you are giving verifiable consent to our collection and use of your child's information as described in this policy, including your child's use of the client portal to submit film, complete assessments, or communicate with us as part of the Service.

You may review the personal information we hold about your child, request that we correct or delete it, or refuse to allow further collection, at any time by contacting us at connor@connorhickman.com. We will not require your child to disclose more information than is reasonably necessary to participate in the Service.

We do not disclose a child's personal information to third parties except as described in the “How Information Is Shared” section below, which covers only the service providers necessary to operate the Service.

The parent or guardian, not the athlete, is the account holder and the primary point of contact for billing, scheduling, and communication.

How We Use Information

We use the information we collect to: evaluate inquiries and determine fit for the Service; create and manage client portal accounts; deliver film breakdowns, development plans, goal tracking, and mentorship calls; communicate with you about scheduling, billing, and the Service; send transactional emails, such as login links and notifications; and maintain the security and integrity of the portal.

We do not use athlete or family information for advertising, we do not use tracking or advertising cookies, and we do not sell personal information to third parties.

Cookies and Similar Technologies

Our client portal uses a strictly necessary cookie or similar local storage to keep you logged in during your session. We do not use advertising or tracking cookies, and we do not use cookies to build advertising profiles. If this changes in the future, we will update this policy accordingly.

How Information Is Shared

We share information only as needed to operate the Service, with the following categories of service providers: Stripe, to process payments; Resend, to deliver transactional emails; Google, for calendar, email, and file-related services; Calendly, for scheduling calls; OnForm, for creating video film breakdowns; and our hosting and database provider, to operate the client portal securely.

Each of these providers processes information only as necessary to perform their function for us and is bound by their own privacy and security practices. We do not share personal information with any other third party except as required by law.

Data Security

Client portal accounts are private: each family can access only their own athlete's information. Uploaded documents and film breakdown materials are stored privately and are not publicly accessible. Portal access requires an invitation from us; there is no public sign-up. Sign-in uses either an email and password or a one-time email sign-in link, passwords are stored only as salted hashes by our authentication provider and are never visible to us, and accounts with elevated access are protected by two-factor authentication.

No method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security, but we take reasonable steps consistent with the sensitivity of the information involved.

Data Retention

We retain personal information for as long as your account is active or as needed to provide the Service. If you end your engagement with us, we will retain records as needed for legitimate business or legal purposes (such as financial records) and will delete or de-identify other information upon request where we are not required to retain it.

Your Rights

You may request to access, correct, or delete the personal information we hold about you or your athlete by contacting us at connor@connorhickman.com. We will respond within a reasonable time.

Relationship to Other Agreements

If you sign a separate Client Agreement with us, that agreement governs the specific terms of your enrollment, including billing and cancellation. This Privacy Policy governs our general data practices and applies alongside any such agreement. If there is a direct conflict between this policy and a signed Client Agreement specifically regarding data practices, the Client Agreement controls for that client.

Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will post the updated policy on this page with a new effective date.
